SRA Information Technology Pty Ltd ABN 13 055 972 908 and its related bodies corporate (collectively we, us or our) are committed to protecting your personal information. In accordance with the Privacy Act 1988 (Cth) (Privacy Act), this Privacy Policy sets out how we collect, use and manage your personal information as it relates to the use of the Inspire service.
We may modify this Privacy Policy from time to time to reflect our current privacy practices. Inspire users will always have access to the latest version of the Policy from within the Inspire application.
We are committed to protecting the privacy of individuals who use the Inspire – Learning with Diversity application (Inspire) and the Inspire website (getinspire.com.au).
When you first log in to Inspire, you will be required to review and accept this Privacy Policy before gaining access to the application. The most current version of this Policy will always be available within the application. By confirming that you have read, understood, and agree to this Policy, you may continue to use Inspire and agree to the collection, use and management of your personal information as described in this Privacy Policy. If you do not agree to the Privacy Policy, you will not be permitted to access or use Inspire.
This Privacy Policy is not applicable to any third parties’ websites or platforms that you may access from the Inspire website. We are not responsible for the privacy practices of those third parties. You should contact them directly to understand and ensure that you are comfortable with how they manage your personal information.
This Privacy Policy applies to personal information handled by us in connection with the provision of Inspire to schools, including information entered by school administrators, teachers, and other authorised staff. Inspire is intended for school personnel—not for direct student use.
What is Personal Information?
“Personal Information” is information or an opinion about you or information from which you could reasonably be identified.
“Sensitive information” is a sub-set of personal information. We do not collect sensitive information without your consent, unless we are allowed to do so by law. By sensitive information we are referring to your racial or ethnic origin, political opinions, religious beliefs or affiliations, philosophical beliefs, political, professional, trade association or trade union memberships, sexual orientation or practices, criminal records or health, genetic or biometric information and templates.
Collection of Personal Information
How We Collect Your Personal Information
We may collect your personal information:
directly from you (for example, when you are registered as an Inspire user, when we are in contact with each other, whether by phone, email, or via a support request, when you set up or manage an Inspire account and when you visit the Inspire website);
from publicly available sources and databases (for example, if it is unreasonable or impractical for us to collect the personal information directly from you or because we have provided you with a fair opportunity to supply personal information which we reasonably require for our activities, but you have only partially provided it or not provided it at all);
through statutory, regulatory and other governmental processes; and
from third parties who you have authorised to provide us with your personal information.
If we receive unsolicited personal information about you, we will assess whether we would have been entitled to collect it. If we would not have been entitled to collect it, we will destroy or de-identify it as soon as practicable (if it is lawful and reasonable to do so).
During account registration for Inspire, mandatory fields required for the application to function are clearly distinguished from optional fields.
Some features of our services may require you to directly provide us with certain information about yourself. You may elect not to provide this information, but doing so may impact our ability to provide Inspire services effectively.
What Personal Information We Collect
Depending on how you interact with us, we may collect personal information such as:
School staff names and contact details including full name, email address, school address, phone number.
Details about your organisation, including your role and school affiliation.
Inspire account information including your username, password and other information used for account security purposes.
Customer support information and information you choose to include in communications with us, including the content of any feedback, support tickets, phone calls, or emails you send us.
Personal information that is disclosed to us if we acquire the assets of another business to whom you have disclosed personal information. Such transactions generally involve the disclosure of personal information by the seller, either as part of the due diligence process or as a result of a transfer of assets.
User information such as your IP address, browser type, device information and usage activity.
Cookies
Our website uses ‘cookies’ to improve your browser experience. Cookies are small text files that are downloaded and stored onto your computer’s browser directory when you visit our website.
Cookies are used to track the pages and services you visit on our website and to ensure that you are able to move freely across our website without the need to re-enter information that you have already provided. We use cookies to collect information such as:
your computer’s IP address and other technical information;
the date and time at which you access our website and the duration of your visit;
the pages and content that you viewed during your visit; and
the type of browser you are using.
It is possible to disable cookies by adjusting your internet browser’s setting. However, our website may not function correctly if your browser refuses cookies.
Sub-Processors
Use of Microsoft Azure Cloud Infrastructure
The Inspire application and its data are hosted on Microsoft Azure cloud infrastructure. Microsoft Azure acts as a sub-processor, providing secure hosting, storage, and related services on behalf of SRA. All data is stored within Australian-based Azure data centres.
SRA remains responsible for ensuring that all personal information is managed in accordance with this Privacy Policy and the Privacy Act.
You can access Microsoft’s compliance details here. Microsoft Azure, acting as a sub-processor, may be contacted for matters relating to its infrastructure and cloud hosting operations. For privacy or data protection inquiries, visit Microsoft’s Privacy Support & Requests portal.
The types of data handled by Microsoft Azure include:
Application data and user information stored within the Inspire system;
Diagnostic and operational telemetry necessary to maintain service performance and security; and
Administrative data relating to the management of SRA’s Azure subscription.
All data is encrypted in transit and at rest. Microsoft does not access, use, or share this data except as required to operate and support the cloud environment in accordance with SRA’s instructions and applicable privacy laws.
Use of Mailchimp
We use MailChimp as our Electronic Direct Mail (EDM) platform to manage sending Inspire related emails to you. You are given an option to ‘Opt Out’ of these emails.
The types of data shared are:
Contact information: your name, email address, role, school/business
Behavioural Data: to show how contacts interact with emails sent, including clicks and opens.
Geolocation: an estimated location that is generated based on a contact’s IP address.
Tags and Groups: data related to tags and groups to help identify the audience for sending purposes.
Mailchimp is based in the United States, and your personal information described immediately above may be transmitted to and stored on servers located outside Australia.
Mailchimp acts as our service provider and uses personal information on our behalf to send emails to you. The emails contain information about product updates, outages, and general product information. They do not contain any information related to students or the data uploaded by you to Inspire.
You can unsubscribe from our communications at any time by clicking the “unsubscribe” link in any email we send. Your request will be processed immediately through Mailchimp. When you unsubscribe, your details will be removed from our mailing list automatically.
We retain subscriber information for as long as you remain subscribed or as required by law. Once you unsubscribe, your information is deleted from our active mailing lists within a reasonable timeframe. We do not trade in or sell your personal information to other parties.

Use of Google Analytics
We use Google Analytics, a web analytics service provided by Google LLC, to help us understand how visitors engage with our website. Google Analytics uses cookies and similar technologies to collect information such as:
Pages visited and the order in which they were viewed
The length of time spent on pages
Browser type, operating system, and device information
Referring website or search engine
Approximate geographic location (based on IP address).
This information is used for statistical and analytical purposes to improve the website’s structure, content, and user experience.
Data collected by Google Analytics may be transmitted to and stored by Google on servers located outside Australia, including in the United States. Google may use this information to evaluate website activity, compile reports for us, and provide other related services. You can opt out of Google Analytics tracking in several ways:
By installing the Google Analytics Opt-out Browser Add-on.
By adjusting your browser settings to block cookies.
By clearing existing cookies from your device.
If you choose to disable cookies or opt out of Google Analytics, some parts of the website may not function as intended.
Analytics data collected by Google Analytics is retained for a period consistent with our operational needs and Google’s data retention settings (typically up to 14 months), after which it is automatically deleted.
We collect analytics data to understand website usage patterns and to improve accessibility, performance, and content delivery. Where required by law, user consent is obtained before analytics cookies are set.
Use of Personal Information
How We Use Your Personal Information
We only use personal information for the purposes for which it was collected. We may use your personal information:
to support and administer Inspire, including to process your registration, to send notifications to you related to your Inspire account, to create, maintain and otherwise manage your Inspire account;
to answer your queries, provide you with customer support and resolve any issues with the Inspire application, or provide you with information you may have requested;
to distribute communications, including emails, to manage relationships, including sending updates about the service;
to comply with our legal obligations; and
to conduct analysis directed at improving our products, services and websites.
Your personal information will never be sold or rented and will not be used or shared for advertising or similar commercial purposes.
Disclosure of Personal Information
We disclose personal information in limited circumstances. Your personal information may be disclosed to:
our third party service providers (subprocessors) and where appropriate, professional advisers such as our solicitors and accountants;
any other parties who you direct, request or otherwise consent to the disclosure of your personal information to;
our affiliates or otherwise within our corporate group;
in connection with a business transaction such as a merger or insolvency, to comply with any applicable legal obligations (including to respond to subpoenas, search warrants and similar requests); and
government authorities or other statutory bodies where it is expressly permitted under the Privacy Act (for example, where you have provided your consent or we are legally required to do so, such as under a court order or warrant).
Storage and Security of Your Personal Information
How we secure your personal information
We take data security seriously and implement industry-standard measures to protect your personal information, including:
Secure hosting on Microsoft Azure services within Australia.
Regular monitoring and updates to safeguard against data breaches.
Working with Children Clearances obtained in the relevant State/Territory of where the school is located.
Only our staff that provide direct support of the Inspire application will have access to such data. This is securely managed through our stringent change control processes. Anonymised data is used for development of the application and for testing purposes.
We have in place usernames, passwords and access restrictions that provide electronic protection of personal information that we store electronically. However, there are inherent risks with the transmission of data over the internet. Whilst reasonable security measures are in place for the protection of your personal information, please be aware that no guarantee can be made that your personal information is completely secure.
We retain personal information only for as long as necessary to provide our services or comply with our legal obligations. Once such information is no longer needed, we will securely delete or de-identify it.
If any unauthorised access or disclosure of your personal information occurs, we will comply with our obligations under the Privacy Act in dealing with that unauthorised access or disclosure, including any obligations in respect of eligible data breaches under the Privacy Act.
Access to, and Correction of, Personal Information
How You Can Access and Correct Your Personal Information
You may request access to your personal information by sending a written request to us, using the contact details provided below. Upon receiving an access request, we may seek further details from you, in order to verify your identity. We reserve the right to refuse access to personal information if we cannot verify your identity to our reasonable satisfaction. Access will generally be provided in an appropriate format within 30 days. We may charge a fee for providing access, if it requires a significant amount of time to locate your personal information or to collate or present it in an appropriate format. This fee will be explained to you before it has been incurred.
In limited circumstances, and only where it is permitted under the Privacy Act, we may not be able to provide access to your personal information, for example, where it would have an unreasonable impact upon the privacy of others or where we believe your request is frivolous or vexatious.
We will take reasonable steps to ensure personal information we collect and use is accurate, up-to-date and complete. You have the right to request that we correct any inaccurate or incomplete personal information we hold about you. If we agree that the information requires correction, we will take reasonable steps to update it.
Client Data
Data uploaded to Inspire, or entered by users of the system, including Inspire account registration and usage of account (Client Data), is not required by us for the operation of the system.
When using the Inspire application, the following information in relation to students may be submitted to Inspire by authorised users and stored within Inspire:
Student code, year level, enrolment status and class names.
Assessment results, work samples and learning plans including strategies, goals and progress notes.
Parent and carer communications and meeting notes.•
Clinician tasks and notes.
Medical reports.
Disability and areas of concern.
Client Data held in the system is managed by the school, network of schools or Education Department to which it belongs using an Identity Provider. The relevant account is added to a security group to manage the level of permissions within Inspire. We receive the staff name, security group details and relevant email address for log in.
Students do not access Inspire, however a student profile is created within the Inspire application to enable management of student data for collection and evidence purposes required for NCCD. Data is uploaded into Inspire by authorised users and the student profile is created and kept up to date.
We do not use this data in any way. Access to this data by our staff is securely managed through stringent change control processes and staff that are authorised to access the environment where production data is stored have undergone National Police Clearance and Working with Children Clearance in the relevant State/Territory.
We protect your data through various security methods including:
Firewalls
Encryption
Multi-Factor Authentication
Anti-virus and malware detection
Access controls.

Miscellaneous Issues
Dealing With Us Anonymously or Using a Pseudonym
We do not permit the use of anonymous accounts or unidentified access in Inspire. To meet the auditing and compliance requirements of the NCCD, all actions performed within the application must be attributable to a registered user. This ensures that every interaction is traceable to the individual who performed the action and to the specific student record involved.
However, Inspire does allow users to submit anonymous feedback where no auditing or compliance requirements apply. Such feedback is de-identified to maintain the user’s privacy while still enabling continuous improvement of the application.Changes to This Privacy Policy
SRA may revise this Privacy Policy from time to time to reflect updates to our services, internal practices, or changes in applicable laws and regulations. The most recent version of this Policy will always be available within the application and on the Inspire website. When the Policy is updated, you will be prompted to review and accept the revised version before continuing to access the application. By confirming that you have read, understood, and agree to the updated Policy, you may continue to use the application. If you do not agree to the revised Privacy Policy, you will not be permitted to access or use the application. Changes come into effect from the time when they are brought to your attention, or when you next logon to the Inspire application or Inspire website, whichever is earlier.
