Acceptable Usage Policy (AUP)

Application: Inspire – Learning with Diversity Organisation: SRA Information Technology Pty Ltd (ABN 13 055 972 908) (SRA Information Technology), Head Office – Level 6, 25 Franklin St, Adelaide SA 5000 Applies to: School Staff, Clinicians, and Parents/Guardians authorised to access the system

1. Purpose

This Acceptable Usage Policy (AUP) establishes the standards of appropriate and responsible use of Inspire – Learning with Diversity, an application supporting schools in planning, documentation, collaboration, and audit readiness for the Nationally Consistent Collection of Data (NCCD) on School Students with Disability.

The Application stores and processes personal information and sensitive information, including medical, educational, and demographic data. This policy ensures compliance with legislative and regulatory obligations, protects student privacy, and safeguards the integrity of the system.

2. Scope

This policy applies to all users of the Application, including:

  • School Staff (teachers, teachers assistants, principals, support staff, advisors, coordinators, funding officers, administrators).

  • Clinicians engaged with schools.

  • Parents/Guardians providing consent and feedback.

Note: Students do not log in or directly use the application.

3. Responsibilities of Users

Users of the Application must:

  • Access and use the system only for authorised educational purposes in support of students with disability and students with unique learning needs.

  • Maintain the confidentiality and privacy of all information accessed.

  • Protect login credentials (username, password, MFA tokens) and never share accounts.

  • Ensure parental/guardian consent is recorded and respected where required.

  • Report any suspected security incident, data breach, or misuse immediately to the relevant school authority and SRA Information Technology’s support contact centre, via hello@inspirelwd.com.au.

4. Appropriate Use

The Application must only be used to:

  • Create, update, and maintain records relating to student learning adjustments, assessments, strategies, and goals.

  • Facilitate collaboration between School Staff, Clinicians, and Parents/Guardians.

  • Document compliance and audit requirements under the NCCD.

  • Communicate and record feedback relevant to student learning support.

5. Prohibited Use

Users of the Application must not:

  • Use the system for any personal, commercial, or non-school-related purposes.

  • Attempt to access information about students or staff without legitimate authority or educational need.

  • Disclose, share, or forward information outside authorised channels (e.g., exporting data for personal storage, sharing screenshots).

  • Circumvent or attempt to disable system security features.

  • Upload, store, or transmit unlawful, defamatory, discriminatory, or offensive material.

  • Use another person’s account or impersonate another user.

6. Data Protection and Privacy

  • The Application contains personal information and sensitive information (e.g., medical reports, assessments, disability records, consent forms, communication notes).

  • All data must be treated in line with relevant legislation, including:

    • Privacy Act 1988 (Cth)

    • Australian Privacy Principles (APPs)

    • South Australian Information Privacy Principles (IPPs) (where applicable)

    • Any applicable State/Territory education department policies.

  • Users must handle all information in accordance with school and departmental policies for confidentiality and records management.

7. Security Requirements

  • Strong passwords (minimum 14 characters) and multi-factor authentication (MFA) must be used.

  • Sessions must be logged out or locked when devices are unattended.

  • Access must be through approved school or clinician devices/networks where possible.

  • Any suspected or confirmed data breach must be reported immediately to the relevant school authority and SRA Information Technology’s support contact centre, via hello@inspirelwd.com.au.

8. Monitoring and Compliance

  • SRA Information Technology reserves the right to monitor system use to ensure compliance with this policy and relevant laws.

  • Schools are responsible for ensuring their School Staff and Clinicians comply with this policy.

  • Breaches of this policy or relevant laws may result in suspension or termination of access and may be subject to disciplinary or legal action.

9. Acknowledgement

By accessing the Application, users acknowledge they have read, understood, and agreed to abide by this Acceptable Usage Policy.
